BURNHAM-ON-SEA ALLOTMENTS TENANTS ASSOCIATION
1. The aim of the Association is to ensure that all allotments are rented and cultivated and that the Love Lane Allotments are worked efficiently and productively.
2. The Annual General Meeting of the Association shall appoint a Chairman, Secretary, Treasurer, and other members to form a Committee to oversee the running of the Association.
3. The Committee shall collect and handle rents from all tenants. This income is to be used for the repair and upkeep of the site.
4. The Committee shall meet at least once every two months and the quorum for the Committee shall be five.
5. The Annual General Meeting shall be held in the last quarter of the year and public notice of it given at least Seven days before it is held.
6. An Extraordinary General Meeting may be called for by tenants provided at least 8 signatures of tenants are presented to the Committee.
7. The Rules for the efficient working of all plots are: -
(a) All tenants must cultivate their plots and maintain them in a satisfactory weedfree condition and keep them well manured.
(b) A tenant who fails to observe Rule (a) will be cautioned and if there has been no improvement after ONE month, the Secretary will write to the Tenant informing them that their tenancy has been terminated.
(c) The Committee shall have power to terminate the tenancy of any tenant whose conduct makes it undesirable that he or she remains a tenant.
(d) A tenant who has paid a full year's rent may terminate the tenancy at any time but without refund.
(e) Dogs are only allowed on the Allotment site when they are on a lead or tethered, and must not be allowed to run loose.
(f) Tenants should ensure that their garden rubbish is deposited on their own plots and not on paths, untenanted plots, nor in hedges or ditches. No household rubbish or cooked food scraps to be deposited on Allotment plots.
(g) Each tenant is responsible for the upkeep of half of the path width all round his or her plot. All sidepaths should be at least 2 foot wide.
(h) All main carriageways are to be kept clear of vehicles except when loading and unloading only. Vehicles must then be returned to the car park.
(i) The use of sprinklers and unattended watering is banned. The hose is only to be used for filling tubs and barrels and is NOT to be used for direct watering of plots. Foliar feeding is permitted with the hosepipe.
(j) On the death of a Tenant, the tenancy will terminate at the end of the growing season (about January to March).
8. The rent for plots shall be reviewed annually at the Annual General Meeting by all members present at the Meeting.
Rents are due on 1st. January and are to be paid by 31st. January.
Tenants renting a plot after 1st. January shall still pay rent for the whole year for the whole year, regardless of when taken on.
If the rent has not been paid by the date due, the Committee can terminate the tenancy.
9. All conditions contained in the Council tenancy agreement shall remain in force. A copy is available at the Stores Shed.
THE ABOVE RULES AND CONDITIONS SHOULD BE READ AND UNDERSTOOD BEFORE ACCEPTING THE TENANCY OF THE PLOT.
